Help: Create New Instrument

When applying, all sections with red asterisk (*) are required.

Your name will be associated with the application with the role of Applicant. This association does not indicate that you will receive any rights, restrictions or responsibilities to the property(s) associated with the instrument. This role only indicates that you will have access to the instrument as it is being processed in the system. The parties to the transaction will be determined by the contents of the documents that you upload.

Select the Instrument Type that you believe you need from the drop-down list. The instrument type that you select is not binding, the NLA SMD staff will review the document(s) that you upload to determine the official instrument type.

Once you select the instrument type, the system will ask you to upload your "Supporting Documents". Click the Upload link and browse the file system on your computer to select the file(s).  Files should be named so that the names are unique within the system and do not contain any special characters such as punctuation (except .), slashes, percent signs, quotes, asterisks etc. [!@#$%^&*()\|/,], good naming formats are include:

  • [Your document number]_[todays date].[file extension] - for example: ABC123_20220101.csv
  • [Your project description]_[todays date].[file extension] - for example: SurveyOfNewSubdivision_20220101.csv

Files with short non-descriptive names are likely to be duplicated by other portal users and may result in errors. Examples of poorly formatted file names include:

  • 1.csv
  • temp.csv
  • MyFile.csv
  • Parcel123.csv

These files should be data files such as csv, or dwg or good quality scans of paper documents or digital documents that have been printed to PDF files. See the scanning section below if you need more information about what is meant by a good quality scan.

Once you have uploaded all of your files for this instrument, click the SUBMIT button. 

The NLA SMD staff will receive your application to create an Instrument and begin processing it. They will check to ensure that you have included all of the required supporting documents. They may re-classify the application as a different instrument type.

If the NLA SMD staff determines that they need additional documentation or information, you will receive an email with a description of what is needed. You may use the "My Instruments" page to view the details of the instrument and upload additional documents.

Once the NLA SMD Staff has determined that the application is complete, they will calculate any fees that are required. These fees will then be displayed on the Submit Payment page of this site. From here, you can select the instruments that you want to pay for and create an invoice. NLA SMD does not currently have the ability to process online payments, so you must make your payments at the NLA SMD office.

Once the instrument has been paid in full the NLA SMD staff will continue to process the instrument.
